This is version 1.1. It applies to accounts created before October 28, 2026 until November 27, 2026. The current version is here.
The rules for your TranscriptLive account, plans, payment, and online processing.
Effective October 26, 2026. This text may be updated. The date changes when it does.
1. Agreement. These Terms are an agreement between you and TranscriptLive, LLC ("TranscriptLive," "we," or "us"). The first time you sign in to TL, TL shows Before You Start; you tick "I have read and agree to the TranscriptLive Terms of Service, License Agreement, and Privacy Policy." and press Accept before your first job. By using TL after that, you accept these Terms. You accept them again at checkout when you buy a plan or pack. This applies to every account: beta, trial, and paid. They work together with the TranscriptLive Beta License, the TranscriptLive License Agreement, and the Privacy Policy. For use before October 28, 2026 under the TranscriptLive Beta License, if these Terms conflict with the Beta License, the Beta License controls. Otherwise, these Terms control on your account, plans, payment, and online processing.
2. Who can use TL. TranscriptLive is for business users 18 and older: people who use TL for a business or their own practice, such as court reporters, scopists, proofreaders, transcriptionists, and agencies.
3. Your account. You need a TranscriptLive account to use TL. Keep your password private. You are responsible for what happens under your account.
4. Your recordings. You must have the right to record every recording you give TL and to have it processed. You are responsible for following the rules of the courts, agencies, and clients you work for. TL does not sign HIPAA business associate agreements. Do not upload material you are not allowed to share with a processing service, such as health information protected by HIPAA.
5. Free trial. New accounts may start a free trial of 5 hours of processing on a monthly plan, good for 30 days. A card is needed to start the trial, and nothing is charged during the trial. Your plan starts, and your card is charged, when you have used the trial hours or after 30 days, whichever comes first. If you cancel before then, nothing is charged, and your trial hours stay until day 30 or until you use them. One free trial per person, per email address, per card, and per computer. An account that has paid for TranscriptLive before is not offered a second free trial. If your email address already had a free trial, your plan starts and is charged right away. If your card was already used for a free trial, the new trial ends at once, nothing is charged, and you can choose a plan instead. To check this, we keep a scrambled code from our payment service that identifies the card, never the card number.
6. Plans and hours. Each monthly plan includes a set number of processing hours each billing month. Hours are measured by the length of the recording TL processes, counted by the minute and rounded up to the next whole minute. You are charged hours only when a job finishes successfully. A job that fails is never charged. You can stop up to 5 jobs a day (Eastern time) while they are being processed at no charge. From the sixth that day, the part already processed is charged to your hours. Stopping a job while it uploads or waits is always free. The Workspace plan is $19 a month and includes no processing hours. Pay as you go has no monthly plan: you buy hour packs, 5 hours for $55 or 20 hours for $200.
7. Unused hours. Unused plan hours carry over for one more month, up to one month's worth, and then expire. Workspace and pay as you go include no plan hours, so they have none to carry over. Hours that carried over do not carry over a second time. Expired hours have no cash value.
8. Hours you buy. Extra hours (bought at your plan's hourly rate), automatic top-ups, and hour packs are one-time purchases. They stay on your account for 12 months from the day you buy them, whether your plan renews, changes, or ends. TL uses your plan hours first, then hours TL Support added back, then hours you bought, oldest first. Bought hours that reach the end of their 12 months have no cash value.
9. Automatic renewal. Monthly plans renew automatically each month, and yearly plans each year, on the same date, at the price shown at checkout, until you cancel. A yearly plan is billed once a year at 11 times the monthly price you would pay, including a founding price if you have one. Before you pay, the checkout page shows the price, how often you are charged, and how to cancel. After you subscribe, we email you a confirmation with the same details. By subscribing, you authorize us to charge your card each month, or each year for a yearly plan, through our payment company.
10. Changing your plan. Upgrades start right away. You pay the difference for the rest of the billing month, and the extra hours are added at once. Downgrades start on your next renewal date.
11. Automatic top-up. If you turn on automatic top-up, we add 5 hours when you have less than 1 hour left, at most once an hour, and charge your saved card: 5 extra hours at your plan's rate, or a 5-hour pack if you have no plan. They keep for 12 months like any hours you buy. You can turn it off at any time. Top-ups are covered by the 48-hour refund in our Refund Policy.
12. Failed payments. If a payment fails, we retry it and email you to update your card. Your plan hours keep working for 7 days. After that, plan hours pause until the payment goes through. Hours you bought in packs keep working. This 7-day grace period applies only to a failed payment, never to a plan you canceled.
13. Card disputes. If you think a charge is wrong, please contact us first, and we will work to make it right. If you dispute a valid charge with your card company, we may pause your account while the dispute is open. If the dispute is decided in your favor, it is handled like a refund: the unused hours that payment bought are taken back.
14. Canceling. You can cancel online at any time from your plan page. Your plan stays active until the end of the month you paid for. Your plan hours, including any that carried over, end on that day. Hours you bought, such as extra hours and hour packs, stay usable until 12 months from the day you bought them. Trial hours stay until day 30 of the trial or until you use them.
15. Suspending or closing accounts. During the beta, we can end your beta access at any time. We may also suspend or close your account if you break these Terms, commit fraud, or do not pay. If we close your account for any other reason, we will refund your unused paid hours pro rata. You can close your account at any time: in TL, use Download My Data to keep a copy of your data, then use Delete My Data, or write to TL Support and we will close it for you. Our Data Promise lists what Download My Data and Delete My Data cover and the records we must keep.
16. Price changes. We will email you at least 30 days before a price change affects you, with how to cancel. The first 100 paying users get the founding price for 12 months from their first payment. The founding price ends when you change to another plan or switch between monthly and yearly. You then pay the regular price of the new plan. After 12 months, the regular price shown on our website applies, and we email you at least 30 days before it changes.
17. Refunds. Yearly plans are paid up front. You can get a full refund within 14 days of purchase. A full refund ends the plan. After 14 days there is no refund, and your plan runs to the end of the year you paid for. A money refund takes back the unused hours that payment bought. See our Refund Policy.
18. Payment security. A payment service handles cards on its own secure page. No card number ever reaches TranscriptLive.
19. Service availability and no warranty. Online processing is provided as available. We work to keep it running, but we cannot promise it will never be interrupted. A job that fails is never charged. The online service is provided "as is" and "as available." To the extent the law allows, we disclaim all warranties, including that the online service will be error-free, uninterrupted, or fit for a particular purpose.
20. Your responsibility for uploads. You agree to defend and compensate TranscriptLive for claims by others that come from recordings you upload without the right to, or from your misuse of TL.
21. Limits of liability. To the extent the law allows, we are not liable for indirect, incidental, special, or consequential damages, or for lost profits, lost data, or transcript errors. Our total liability for any claim is limited to the amount you paid for TranscriptLive in the 12 months before the claim, or $100 if you paid nothing.
22. Governing law. These Terms are governed by the laws of the State of Georgia. Any dispute will be handled in the state or federal courts serving Cobb County, Georgia. Where the law where you live gives you more rights, those rights still apply.
23. Notices. You agree that we may send notices, receipts, and account messages by email to the address on your account.
24. Transfer. We may transfer these Terms to a buyer or successor of TranscriptLive. You may not transfer your account without our written approval.
25. Changes to these Terms. We may update these Terms. We will email you about any important change at least 30 days before it takes effect, and TL will ask you to agree to the new version.
26. What lasts after your account ends. The sections on payment, card disputes, your responsibility for uploads, limits of liability, governing law, and transfer still apply after your account ends.
